When a Child Leaves Your Program

If a child or family leaves your program, you can mark them as inactive in Rayz Kidz instead of deleting them. This removes them from your active view while keeping their data saved in your account.

Their records, including daily logs, photos, observations, and history, will remain available if you need them later for reporting, inspections, or reactivation.

Deactivate a Child

Use this option when one child leaves your program, but the family may still have another child enrolled.

Steps

  1. Go to the Home tab.

  2. Select the child.

  3. Tap See Profile.

  4. Tap the Edit button in the top right corner.

  5. Select Deactivate Child.

  6. Confirm your selection.

What happens next

  1. The child will no longer appear in your active roster.

  2. The child’s data will remain saved in your account.

  3. The family will still have access to that child’s information and photos.

Deactivate a Family

Use this option when the entire family has left your program and no children from that family are currently enrolled.

Steps

  1. Go to Family Profiles.

  2. Select the family.

  3. Tap the Edit button in the top right corner.

  4. Select Deactivate Family.

  5. Confirm your selection.

What happens next

  1. The family will no longer appear in your active view.

  2. The family’s data will remain saved in your account.

  3. The family will still have access to their child’s information and photos.

Generate Reports for Inactive Children

If a child has left your program, you can still generate reports for them when needed, including for licensing or inspections.

Steps

  1. Open the menu bar.

  2. Expand Program Tools.

  3. Select Reports.

  4. Choose the report you want to generate.

  5. Turn on the toggle for Include Inactive Children.

  6. Select the inactive child from the dropdown list.

  7. Generate the report.

Reactivate a Family

If a family returns to your program, you can reactivate them at any time.

Steps

  1. Go to Family Profiles.

  2. Select the family.

  3. Tap the Edit button in the top right corner.

  4. Select Reactivate Family.

Reactivate a Child

If a child returns to your program, you can reactivate them and continue using their existing profile.

Steps

  1. Open the family’s profile.

  2. Select the child.

  3. Tap the Edit button in the top right corner.

  4. Select Reactivate Child.

Important Note

Deactivating a child or family does not delete their information.

All records stay saved in Rayz Kidz, and families will still be able to access their child’s data and photos even after they are marked inactive on your side.
